Welcome Packs for Companies: Employee Welcome Kits for New Starters

A welcome pack is the box each person receives on their first day: your branding on the outside and, inside, a usable welcome kit. At Pekata, you design it once, each employee customises it on the portal to their size and taste, and we deliver it to the office or their home, starting from 25 units.

What is a welcome pack?

A welcome pack (also known as a welcome kit) is a collection of branded items that a person receives when they join a company: typically a box containing stationery, a piece of clothing or an accessory, something to drink or eat, and a welcome note. It's the tangible part of onboarding, the only aspect of the induction plan that can be physically touched.

It serves three purposes: to make the first day memorable, to ensure the person has what they need for work from the start, and to showcase the employer brand outside the office, whether in a social media photo or on a home desk if working remotely. A well-curated pack costs between €30 and €120 per person, depending on its contents.

What a Customised Pekata Welcome Pack Includes

What to include in a welcome pack: 12 popular ideas

Items that truly stay on the desk or in the backpack, not in a drawer. Each idea links to its category in the catalogue, with branding included in the price.

  • Notebook with your logo. The most used item in the first week. Hard or soft cover, with the logo embossed or printed. See personalised notebooks.
  • Engraved metal pen. It has weight, writes well, and lasts: the only pen that doesn't end up in a drawer. See personalised pens.
  • Stainless steel thermal bottle. The most appreciated gift in an office and the most visible outside it. See personalised bottles.
  • Desk mug. Affordable, useful, and always displaying the brand. See personalised mugs.
  • T-shirt or polo in their size. The garment only works if the person chooses the size and colour: they do this on the portal. See personalised t-shirts and personalised polos.
  • Embroidered sweatshirt. The standout piece of the pack when budget allows; the most used when working remotely. See personalised sweatshirts.
  • Backpack or laptop sleeve. For those moving between home, office, and client sites. See personalised backpacks.
  • Headphones or speaker. Technology with discreet branding: the most photographed item on the first day. See personalised headphones.
  • Coffee or chocolate with your brand. The gourmet touch that is shared with the team and breaks the ice. See personalised coffee and chocolates with your logo.
  • Lanyard and access card. The first thing needed on the first day; if it's in the pack, there's no need to search for it. See personalised lanyards.
  • Handwritten welcome card. The cheapest item in the pack and the most memorable: two lines from their manager, not a template.
  • A budget for them to choose the rest. Set the box and two or three common items and let each person complete their pack on the portal: this way there are no wrong sizes or surplus gifts. This is how Pekata's employee gift platform works.

What to include based on the profile: office, remote and field

ProfileWhat to includeWhere it's delivered
Office Stationery with your logo for the desk —notebook and pen—, a thermal bottle and a gourmet treat to share on the first day with the team. On their desk, set up before they arrive. If several people start the same week, everything goes in one delivery to the office.
Remote or hybrid What makes the home desk livable: a bottle or mug, a garment in their size, a desk accessory and the gourmet item. Here the box does more work, as no one will set up the desk on the first day. To their home, with the address they provide on the portal, in any European country.
Field or sales Things that travel: a backpack or waist bag with your logo, a coffee thermos and a warm garment. Just the right amount of stationery. To their home or the main office; if they're on the road, to the address they prefer.

A welcome pack for new employees doesn't have to be identical for everyone. Set the box and two or three common items, and let each person choose the rest on the portal based on where and how they work.

How It Works

  • We design the kit together: box, content and budget per new starter.
  • You notify us of each new hire — or send us the monthly list — and we prepare each pack.
  • We deliver it to their desk before the first day, or to their home if the team is remote.

Send the welcome kit to each employee's home

We can send the welcome kit directly to each employee's home, one by one, without you collecting addresses. Each person logs in with their link on the Pekata portal, available in seven languages, chooses what they want within the budget you've set, and indicates where to receive it: their home, the office, or the most convenient workplace.

HR doesn't collect or store addresses, and we resolve delivery issues directly with the person. We deliver across Europe and the company receives a single invoice with the breakdown. It's the way to work when the team is spread out, when someone joins remotely, or when there's no desk to leave the box on the first day.

Welcome Packs for Clients, Partners and Events

The same company welcome pack is perfect for welcoming a new client, partner, or attendees at your convention: branded box, two or three useful items with your logo and something gourmet inside. We deliver it to their office or home, and at events, we hand it out at the venue on the day.

If the recipient is a client, the gift is taxed differently — we explain this in gifts for clients. For conventions, trade shows and conferences, check out event merchandise.

Examples of Employee Welcome Packs by Budget

PackContentsIndicative Price Per Person
Essential Branded box, notebook and pen with your logo, welcome card and a gourmet treat €30-40
Team The above plus an engraved thermal bottle and a garment to their size, chosen on the portal €55-75
Complete Branded box, backpack or sweatshirt, bottle, stationery and budget for them to choose the rest €90-120

Indicative prices with the logo applied, from 25 units. Each person can complete their pack on the portal with the budget you set.

What's included in a welcome pack of €35, €60 or €100 per person

  • €35 per person: box with your branding, notebook (€6-15) and engraved metal pen (€3-5), welcome card and a gourmet treat. It's the essential pack: few items, none filler.
  • €60 per person: the same plus the two items people actually use — an engraved steel thermal bottle (€15-30) and a t-shirt (€9-18) or a polo (€16-28) in their size, chosen on the portal. With the simplest garment, both fit; with the priciest, one.
  • €100 per person: here comes the big item, a laptop backpack (€35-70) or an embroidered sweatshirt (€25-45), with the bottle and stationery from the previous tiers and free budget for the person to complete the pack as they like.
  • With any budget, one good item is better than four mediocre ones. A welcome pack with a notebook you want to write in and good coffee is remembered better than one full of plastic with a logo.

The First Day is Also Employer Branding

The first impression of your company isn't made by welcome emails; it's made by what the new employee finds on their desk on the first day — or what they receive at home if they work remotely. A well-thought-out welcome pack conveys from the very start how you treat people.

The welcome manual outlines the onboarding plan; the welcome pack is its tangible element, the only part of the plan they can physically touch. We design your company's welcome kit with you — your personalised box and content that truly gets used: gourmet items, well-made corporate merchandise, useful items — and we send it on demand whenever someone joins.

Frequently Asked Questions About Welcome Packs

Is there a minimum order for welcome packs?

Yes: 25 units per campaign, sent on demand, one by one if needed. We define the welcome gift once and produce it according to new hires, without you needing to store anything.

Can you deliver the welcome pack to the employee's home?

Yes. For remote or hybrid teams, we send the pack directly to the new employee's home, coordinating delivery to arrive before their first day.

How much does a welcome pack cost?

Between €30 and €120 per person depending on the contents: essential packs with stationery and a gourmet treat are around €30-40; with a bottle and garment, €55-75; complete packs with a backpack or sweatshirt, €90-120. Minimum order of 25 units.

Welcome pack or welcome kit: is it the same?

Yes: welcome pack, pack de bienvenida, kit de bienvenida, welcome kit or welcome box all refer to the same thing, the box a person receives when they join. What changes is what's inside and how it arrives: at Pekata, with your branding, partly chosen by the person and delivered to the office or their home.

What should an employee welcome pack include?

Items used daily and something exciting to open: a box with your branding, a welcome card, a notebook and pen with your logo, a thermal bottle and a garment in their size, plus a gourmet treat. Avoid promotional filler: a welcome gift that ends up in a drawer says nothing about your company. If unsure, let the person choose part of the contents on the portal.

Can the welcome pack be customised for each person?

Yes. You set the box, common items, and a budget; the person chooses size, colour, and the rest of the contents on the portal, including the gourmet item, useful if there are allergies or preferences. As we produce from 25 units, each welcome pack is already customised without you managing sizes or leftovers.

How do you get each employee's address to send the kit to their home?

Each person sets it. When they enter the portal with their link, they choose the contents of their welcome kit and provide the address where they want it delivered: their home, the office, or any preferred location. HR doesn't need to collect addresses or send us lists, and if there's a delivery issue, we resolve it directly with the employee.

Does the welcome pack need to be the same for all positions?

It doesn't have to be. It's common to set the box and two or three common items —stationery with your logo, a gourmet treat— and vary the rest according to the profile: desk accessories for remote workers, a backpack or thermos for salespeople on the go, something to share with the team if the onboarding is in the office. Since we produce from 25 units, having three versions of the same welcome pack doesn't complicate the order or require buying more than needed.

How to welcome a new employee?

With three things ready before the first day: the workspace (equipment, access, and accounts), a point of contact, and a welcome pack on their desk or at their home. The pack doesn't replace the induction plan, but it's the only part of that plan the person can touch and show. If onboarding is remote, sending it to their home the week before prevents the first day from being just a video call.

When is the welcome pack delivered?

Before or on the first day, never after: the welcome loses its meaning by the second week. In the office, we set it up on their desk; for remote onboarding, we send it to their home the week before. With Pekata, you notify us of each new hire, or provide us with the month's list, and we prepare each pack as the person joins.

Can I personalize it with my brand?

Yes. Your logo and your colors can dress the platform and the employee experience. The box can carry a sleeve with your brand and your colors. The gift comes from your company — and it shows at first glance.

What happens with my employees' data?

We treat it with the utmost care and always in line with the GDPR: encrypted, never sold or shared for commercial purposes, and passed only to the logistics providers who deliver their box.
